Google user data

If a workspace administrator connects a Google account, Flowqil accesses limited Google user data through Google OAuth APIs solely to provide calendar and meeting features the administrator requests. We comply with the Google API Services User Data Policy, including Limited Use requirements.

What Google user data we access

With the administrator’s authorization, Flowqil may access:

• Basic Google account profile information used for connection status (notably the connected account email address).
• Google Calendar event data needed to create, update, or remove Service-related calendar events (for example project and workspace meeting events) on the connected primary calendar.
• Google Meet-related conference information linked to those calendar events, including Meet links and, when transcription is available and requested by the user, Meet transcript text for a specific meeting.
• OAuth refresh/access tokens required to call Google APIs on behalf of the connected workspace.

How we use Google user data

We use Google user data only to provide and maintain user-facing features of the Service:

• Synchronize Service calendar events and selected project milestones with Google Calendar.
• Create or retrieve Google Meet conference links for scheduled client meetings.
• On explicit staff action (“Import Meet transcript & summarize”), retrieve the meeting transcript and generate an internal meeting summary inside the client follow-up workspace.

Sharing, transfer, and disclosure of Google user data

We do not sell Google user data. We disclose it only as follows:

• To our infrastructure and hosting providers that process data under our instructions to run the Service securely.
• To third-party AI/ML model providers configured for the workspace (such as Google Gemini, OpenAI, or Anthropic, depending on settings) when a staff user requests AI meeting summarization. In that case, transcript text and related meeting context may be transmitted solely to produce the requested summary.
• When required by law, regulation, legal process, or to protect the rights, safety, and security of users or the Service.
• We do not share Google user data with advertisers, data brokers, or unrelated third parties for independent use.

AI / machine learning and Google user data

Flowqil may use AI/ML services to summarize Google Meet transcripts and other meeting notes when a staff user explicitly requests that feature. Google user data used for AI processing is limited to the transcript/content needed for that request and related meeting metadata. We do not use Google user data to train generalized AI/ML models, and we do not allow AI providers to use that data to develop or improve their models except as required to provide the requested inference under their contractual terms. Raw Meet transcript text is processed to generate the summary and is not retained as a permanent transcript archive in Flowqil after summarization; the resulting meeting summary is stored in the workspace until deleted by authorized users.

Data protection mechanisms for sensitive Google data

We apply technical and organizational measures appropriate to the sensitivity of Google credentials and meeting content, including:

• Encryption in transit (HTTPS/TLS) and encryption of stored Google OAuth refresh tokens.
• Role-based access controls so only authorized workspace staff can connect Google, manage meetings, or import transcripts/summaries.
• Workspace/tenant isolation so one company’s Google connection and meeting data are not available to other companies.

Retention and deletion of Google user data

Google user data is retained only as needed to operate the connected features:

• OAuth tokens are stored while the Google connection remains active and are deleted when the workspace disconnects Google Calendar/Meet.
• Imported Meet transcript text is used for the requested AI summary and is not kept as a long-term raw transcript store in Flowqil after that processing.
• Generated meeting summaries and Service calendar metadata remain in the workspace until an authorized user deletes them or the workspace/account is deleted according to our deletion processes.
• Users can disconnect Google at any time from Settings → Connectivity (Google Calendar). Disconnecting stops further Google API access and removes stored Google OAuth tokens for that workspace. To request deletion of remaining related workspace content, contact us using the details below.

Limited Use

Flowqil’s use of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. Google user data is used only to provide or improve user-facing features that are prominent in the Service’s user interface, and not for serving ads or other unauthorized purposes.
